Based in Greater Vancouver, BC, we pride ourselves on delivering exceptional service and are currently seeking an organized and dedicated Office Manager to help streamline our operations.

Job Description: As our Office Manager, you will play a crucial role in maintaining and enhancing our office operations. Your responsibilities will include:

  • Organizing meetings and managing company databases.
  • Scheduling and booking appointments for our technicians.
  • Ordering and maintaining stationery and IT equipment.
  • Handling correspondence, addressing complaints, and responding to queries.
  • Preparing letters, presentations, and reports.
  • Ensuring the office environment is organized and maintained.
  • Managing office supplies, equipment, and maintenance needs.
  • Handling bills, mailing, and running errands.
  • Scheduling meetings and maintaining appointment calendars.
  • Organizing the office layout and ensuring necessary repairs are completed.
  • Collaborating with HR to update and maintain office policies.
  • Managing office operations, procedures, and G&A budget with accurate and timely reporting.
  • Negotiating contracts and prices with vendors, service providers, and for office leases.
  • Assisting in the onboarding process for new hires and addressing employee queries regarding office management issues.

Requirements and Skills:

  • Proven experience as an Office Manager, Front Office Manager, or Administrative Assistant.
  • In-depth knowledge of office administration responsibilities, systems, and procedures.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular).
  • Experience with office equipment (e.g., fax machines and printers).
  • Familiarity with email scheduling tools.
  • Excellent time management skills with the ability to multi-task and prioritize work.
  • Strong attention to detail and problem-solving skills.
  • Exceptional written and verbal communication skills.
  • Solid organizational and planning skills in a fast-paced environment.
  • A creative mind with the ability to suggest improvements.
  • High School degree; additional qualifications as an Administrative Assistant or Secretary will be a plus.
  • Full proficiency in English with excellent fluency is required.
